Structured Document Hierarchy
All the documents in your organization
can be stored and organized in a Cabinet – Folder –
Folder-within-Folder – Document hierarchy.
A 'Document' comprises of a group of relevant information. Printed or handwritten matter
(converted to digital form through scanning), Word Processor generated soft files, Spreadsheets,
eMail messages, Fax messages, etc. are the material that can be grouped into a 'Document'.
Documents are grouped together to form a Folder, and Folders together form a Cabinet.

Browser-based Access

Documents stored in the Intranet Server in one location can be
accessed by an authorized User in another location, using a
standard Web browser. The documents can be searched for,
viewed and (if required) downloaded and printed.

Powerful Indexing and Retrieval
Specific information will need to be retrieved when required. For them to be
retrieved, the documents have to be indexed. DigiOffice 2000 is one of the
few Document Management Systems that has a wide range of user-friendly indexing

Security
Entry into DigiOffice 2000 is controlled through User-ID and password.
In addition, User access control is implemented on individual Cabinets, Folders
and Documents; for instance, a user may have the right to access Cabinet A (and consequently
its contents) but not Cabinet B.
Further, access rights (Create, View, Modify, Delete, etc.) can be granted on each object.
For instance, even though a person may be granted rights to search for
and view a document, he may not be given the right(s) to modify/delete.

Workflow and Tracking
A document can be sent from one user
to multiple users (and further to others) for review and approval. In this process,
comments can be written, certain parts highlighted, Rubber Stamp/Signature affixed,
etc.
Tracking facility permits the authorised User to determine with whom the document is, at
that point in time, and also to know who has performed what actions on
the document and when.
